    Are you looking for a company that offers challenging work, opportunities to grow, the ability to make an impact and be heard?  Join our team today!  We are seeking a creative Marketing Specialist/Executive Assistant to join our team today.  Will be working clsoely with our VP of Marketing, handling a wide variety of responsibilities.

     

    Dynamic position which includes creating and producing marketing materials, campaigns, and events in digital and client facing formats. Must be versed in Microsoft Office Suite, Adobe Creative Suite (Illustrator, InDesign, Photoshop, Acrobat Pro, WordPress, HTML, and Dreamweaver) Graphic design is essential. Must be comfortable to execute/work client facing events. Professional, detailed client support and work order management is a critical element of job responsibility. Organizational and communication skills must be a strength.

    Responsibilities

     

    ESSENTIAL FUNCTIONS:

     

    DAILY:

    • Monitor company social media(s)
    • Manage & Execute Property Manager Birthday Card Program
    • Manage “Show Off Photo Contest” submittals
    • Administrate client work orders & requests, i.e., Bank of America, website
    • Budget tracking (track check requests, log in spreadsheet; give to VP at end of month).
    • Maintain and update the Master Customer database used for all email blasts, constant contact, etc.

     

    WEEKLY and BIWEEKLY:

    • Support and participate in select client events and activities
    • Send Bank of America open work order report to correct sales person(s) for status update
    • Manage Acres, Green Up, Goodmark website and Facebook content and seasonality.
    • Update marketing folder in S drive and SharePoint
    • Create and deliver client (internal/external) marketing and relationship management ideas including anticipated expense and results to VP for review and potential authorization
    • Act as Acres photographer and videographer for use and internal & external marketing and relationship development

     

    MONTHLY:

    • Review department SOP’s that are pertinent to upcoming department activities per strategic action plan. Update as required.
    • Create and publish “The Acres Way” eNews to customer base
    • Place “Acres Experts” Seminars in Shared File as created
        • Submit for CMCA accreditation - Property Manager continuing education credits
        • Submit for Property Manager credits after seminar – deliver certificate to clients, keep records
      • Coordinate and help execute Acres Top 14 Customer & key association activities and events
    • Review and update as required marketing and client services management rolling calendars
    • Work with VP to put together marketing material: presentations, seminars, mailings, surveys
    • Review internal and external client and social media reports – measuring ROI and campaign results
    • Monthly Sales and Marketing Meeting – gather materials needed (Agenda, presentation, evaluations, etc.)
        • Send Agenda with Ice Breaker to attendees prior to the meeting
        • Attend meeting for participation and note taking – includes identification and distribution of action items from meeting
    • Monthly JLL/BOA/Acres Touch Point conference call/meeting
        • Send BOA maintenance spreadsheet to Senior Managers for updating
        • Email agenda, spreadsheet, scorecard and any other pertaining material to JLL Facility Managers

    Qualifications

    REQUISITE KNOWLEDGE, SKILLS, & ABILITIES:

    • Technical knowledge: Microsoft office suite, Adobe creative suite (Illustrator, InDesign, Photoshop, Acrobat pro, WordPress, HTML, Dreamweaver
    • Graphic design, photography, videography experience
    • The proven ability to service all levels within an organization, including both office and field employees, with a positive attitude as well as the ability to handle highly sensitive data in an appropriate manner
    • Excellent administrative, organizational, and written and verbal communication skills.
    • The ability to gain general employee and management support for ideas in order to successfully implement projects.
    • The ability to effectively initiate, pursue, prioritize, and complete multiple projects simultaneously.
    • The ability to work effectively under pressure, both independently and with a team.
    • Strong work ethic, belief in personal accountability, and positive attitude.
    • Maintain confidentiality of sensitive information at all times  

     

    • PREREQUISITES:
    • Minimum 5 years of marketing or related workplace experience
    • Degree in business administration, marketing, graphic design or related field preferred
